Public sector - Workflow application project

Environment

In 1993 the Immigration Office wanted to build an information system to manage the vast amount of immigration data and commissioned TRASYS to study, develop and implement this system.

The Belgian Immigration Office, whose Brussels head quarter is staffed with more than 800 persons, is responsible for the application of the legislation concerning the entry and the residence of foreigners. The ICT-department depends directly from Home Affairs and counts about 25 people.

Solution

The solution merely consists of a central database and a tailor-made workflow application that enables the complete administrative processing of all immigration procedures.
During the past years, the IT system based on a client/server architecture has, in close cooperation with the client, systematically been improved with applications to automatically exchange data with other administrations, like the National Register and Foreign Affairs.
In a second phase, the central database must be converted from Informix to SQL Server to open new perspectives like business intelligence. The applications, originally developed with the Informix 4GL tool New Era, have been rewritten in C++.

Benefits

The benefits of this IT system for the client are a significant improvement of the productivity (much less manual input/output, evolution to paperless office) and the quality (higher availability of information) of the administration.
The introduction of the electronic file for instance has been one of the key elements of the modernisation project of the administration from 2002 onwards and led to significantly reduce the response time for most requests.
